Rental Coordinator

Job Summary:

The Rental Coordinator’s primary function is managing and processing the branch’s rental/sales agreements, assisting with dispatching and assigned field teams with a safety-first mindset. Must fully support company vision and team culture.

Primary Responsibilities:
  • Book equipment orders for customers via inbound calls. Provide exceptional customers service, answering all questions concerning equipment and offering additional items – i.e. berms, hoses, etc.
  • Work closely with operation and sales team to prepare documentation for customer contract set up, shipping, and returns
  • Distribute daily assignments to field teams
  • Ensure that all returned and/or off-rented equipment is properly documented
  • Maintain branch inventory of all equipment
  • Track and manage the quality control of all equipment
  • Provide back up support to other team members in the office as necessary
  • Suggest ideas and ways to improve branch efficiency
  • Other duties as assigned
Equipment Used:
  • Computer, telephone and electronic office equipment
  • MS Office Suite – with an emphasis on Excel
  • Access the company’s internal systems including, Salesforce, SAP, Intranet, Descartes, bank websites, e-invoicing and chat software
Experience/Education:
  • College degree or equivalent experience
  • 3+ years of experience in rental industry, customer service, or billing, preferred
  • 1-2 years of data entry experience
  • Exposure to standard concepts of scheduling and dispatching
  • Exposure to DOT and state specific safety regulations helpful
  • Communicate clearly: verbal and written
  • Strong MS Excel experience preferred
